Establishing a “green team” is a great way to boost your company’s sustainability efforts and get your employees more involved.

A green team brings together employees from various departments to improve your organization’s environmental sustainability efforts and raise employee awareness of opportunities to save energy. Members of your green should share the workload, build support among coworkers and make sure the company’s sustainability efforts are successful.

Miller’s Minuteman Press formed its green team in 2008. It is composed of employees from all job levels and store locations. “Our green team encourages all of our employees to suggest green ideas and alternatives,” said Leigh Lieman, Marketing and Communications Manager for Miller’s Minuteman Press.

Members of the Miller’s Minuteman Press Green Team meet regularly to discuss and review policies and procedures. They develop strategies to increase recycling and decrease office energy usage. In addition, they work to educate clients on the benefits of greener printing alternatives.

With more and more businesses acknowledging the importance of environmental sustainability, it is essential to make sure all staff is aware of the company’s sustainability goals and green initiatives. “Demonstrate your commitment to a proactive approach to environmental sustainability by identifying your green goals, educating and encouraging staff and clients, and acknowledging and publicizing your green efforts,” Lieman said.

In response to growing concerns about data stored on office copiers being stolen if a machine is later resold, office equipment dealer and document management services provider Advance is offering hard drive shredding services to destroy hard drives, and the data stored on them, when a machine is no longer in use.  Advance is partnering with a National Security Agency approved specialist in data destruction, which will provide the equipment necessary for the hard drive shredding to Advance.

Though every copier Advance leases or sells comes equipped with security features to overwrite data that’s stored on the hard drive and there are additional options to enhance protection, shredding a hard drive is one extra step that can be taken to protect sensitive information.

When a hard drive is being destroyed, it is run through a machine that erases all of the data. It then goes through a shredder and afterward, all of the leftover scraps and metals can be recycled.

In the last ‘Green Office Tips’ we talked about going green with your professional publications by choosing a Forest Stewardship Council (FSC) certified printer and environmentally friendly printing techniques. This week we’ll explore how to go green with your in-house printing.

There are several options when deciding how to go green with your office’s paper and printer needs. Each can save you money and reduce waste.

Going paperless: The thought of going paperless within an office can send some people into a fit of protest. But if your office can cope with the changes, going paperless can both help the environment and boost your office’s productivity and organization.

Electronic document management systems enable you to track a document from its creation, through any manipulations it undergoes, to its storage and circulation. Even contracts can be created and signed electronically—e-signatures are equally binding under the law. For sensitive documents, security levels, permissions and access can be assigned, and electronic document storage adds extra protection in the event of a fire or other disaster. It organizes your office’s documents so that files can be located and retrieved quickly and eases preparations for audits and regulatory compliance.

Electronic document management systems also eliminate wasteful printing and duplication that consumes both material resources and employee time.

“Without an electronic document system, you might have had to scan a document and print several copies to send to people of interest. With the system, you can scan that one piece of paper and send it directly to those people’s emails,” Lindsay Kelley, Marketing Manager of Advance, a document management service provider, said.

If you cannot go completely paperless, there are other ways to be environmentally conscious with your office printing.

Choosing paper: According to the FSC, the U.S. consumes about 100 million tons of paper each year. One ton of office paper may require up to 24 trees to produce. Choosing FSC certified paper, which assures that the paper comes from managed, sustainable forests, or recycled paper with the highest post-consumer waste content possible can make a big difference. Recycled paper is often cost-competitive or costs even less than virgin paper.

Waste paper should be recycled, and double-sided printing should be used whenever possible.

Choosing equipment: Choose copier and printer suppliers that employ green programs, such as toner and cartridge recycling, machine recycling and refurbishing, and machine reuse programs, where equipment that is at the end of a contract is reused as a loaner or for wholesale.

Advance employs several environmental programs that recycle and reuse equipment and supplies.

“We partner with companies that can take back machines and strip them down and take everything that’s reusable. Our partners can also recycle up to 98 percent of an old machine that is not reusable,” Kelley said. “These pieces of equipment can do a lot of environmental damage when they’re just dropped in a landfill. It’s in our best interest, and the best interest of our children and future generations to invest in these programs and initiatives.”

It is possible to reduce your carbon footprint and environmental impact by implementing green practices when it comes to printing your professional publications. Kelly Eldringhoff, Account Executive at Mosaic, a waterless print communication company specializing in commercial, digital and waterless printing, gave us some tips on how you can transform your printing practices:

  1. Choose Forest Stewardship Council (FSC) certified and recycled paper. FSC certified assures that the paper comes from managed, sustainable forests.  The closer you can get to 100 percent post-consumer waste recycled, the better. Recycled paper saves trees, reduces the use of toxic chemicals, uses less energy and produces fewer emissions than virgin paper (paper made without post-consumer waste).
  2. Choose a green printer. Your printer should be FSC certified, recycle and be carbon neutral. FSC certified printers assure the customers that the papers they purchase come from managed sustainable forests. They recycle all waste from the pressroom to the bindery; no trimmings or waste should be thrown away. A carbon neutral printer will also replace its energy with wind power.
  3. Choose Soy based inks. Soy-based inks help prevent pollution (low in VOC’s, or Volatile Organic Compounds). They are a safe, sustainable, and renewable resource, promote paper recycling (they are more easily stripped from paper during the de-inking / recycling process than petroleum inks) and they create less waste on press (they remain more stable throughout the printing process so there are fewer ‘rejects” at the end of the print run).
  4. Use a waterless printing process. Waterless printing is the most environmentally friendly printing process available. This process eliminates many of the harmful chemicals used in conventional offset printing process. Waterless also gives the printer better quality and control, allowing them to conserve paper.
  5. Have your designer work directly with your printer throughout the design process. This will allow you to get the most use out of your printed piece and your budget!
